Write four notes before drafting: recipient, relationship, purpose and required content. The relationship controls register; the purpose controls the main verb choices; and the required content becomes a checklist for the final review.
- Recipient: friend, colleague, service or organization.
- Purpose: invite, explain, request, thank or inform.
- Content: every detail named in the instruction.
- Register: consistent from greeting to closing.
Original worked example
Imagine that you need to tell a neighbour that you cannot attend a building meeting, explain why, ask for the decisions afterward and offer one way to help. A complete response needs all four actions. A long apology that omits the request for decisions is still incomplete.
Bonjour Mme Leduc, je ne pourrai malheureusement pas assister à la réunion de jeudi, car je travaillerai jusqu'à 20 h.The opening establishes the situation and reason directly. The remaining sentences still need the request and offer.
Review completion before language
First compare the response with the four content notes. Then check paragraph order, verb forms, agreement, pronouns and spelling. Replace vague phrases only after the message performs its purpose.

- Can the reader understand the next step?
- Did correction introduce a new error?
